Custom Car Park Management Systems for UK Businesses

Custom car park management systems for UK businesses. Bespoke booking, ANPR, payments and enforcement built around your sites, with no per-space subscription.

Most off-the-shelf car park management systems make you bend your operations to fit the software. ByteGears does it the other way around. We build the system around how your car parks actually run.

We’re a UK-based development consultancy, so the software we build for British businesses comes without the per-space subscription, plugs into the systems you already use, and is written with UK data protection rules in mind from the start.

Where off-the-shelf parking software falls down

Generic parking platforms are built for the average operator. If your sites, pricing or policies aren’t average, the gaps show quickly:

  • Rigid allocation rules. Most platforms ship one or two fixed “fair allocation” models. They rarely match how you actually want to share limited spaces, whether that’s strict seniority, accessibility first, a rotating lottery, or executive priority with a financial offset.
  • Inflexible pricing. SaaS pricing logic is fixed. Resident subsidies, time-of-use rates, shift-based staff pricing, tenant-specific rates and revenue-sharing models often can’t be expressed at all.
  • Subscriptions that only go up. Per-space and per-site fees never stop, and they climb as you add sites, spaces or users. Setup, premium integrations and payment processing fees sit on top.
  • Data silos. The parking system doesn’t sync cleanly with HR, building access or billing. So someone leaves the business and still has parking access for weeks, and finance reconciles transactions by hand.
  • Slow on customisation. Vendor roadmaps are driven by their largest customers. The report or workflow you need can sit in a queue for months.
  • Lock-in. Three to five year contracts, proprietary data formats and hardware tie-ins make it hard to change course.

The result is wasted time, manual workarounds, and money spent on features nobody uses while the thing you actually need is missing.

When off-the-shelf is the right call

We’d rather be straight with you. If you run one site of 100 to 1,000 spaces, your workflows are fairly standard, and parking is just operational overhead, a SaaS platform will probably do the job and deploy in weeks. A bespoke build earns its place when the picture is more complicated:

  • Unusual pricing: subsidies, time-of-use, permit hierarchies or revenue sharing
  • Multiple sites with different policies, rates and enforcement rules
  • Parking that has to sync deeply with HR, ERP, building access or tenant systems
  • Specific audit, enforcement or UK compliance requirements
  • High volume, 1,000-plus spaces, where standard platforms hit latency or rate limits
  • A need to own the customer-facing experience end to end

What we build instead

Built around your operations. We work out how your car parks run today, including the exceptions, and build to match rather than forcing a new workflow on your team.

Pay once, then own it. Instead of a subscription that runs forever, you pay for the build and own the software, the data and the roadmap.

Pricing logic that’s actually yours. We encode the rules your business uses: tiered rates, occupancy-based pricing, loyalty discounts, resident subsidies, shift rates. No workarounds.

It connects properly. Payment processors, ANPR cameras, barriers and card readers, accounting tools, HR systems, SSO and EV charging. Bi-directional where it matters, so an HR change updates parking access automatically.

UK compliance from day one. UK GDPR, ANPR data handling, audit logging, accessible-bay rules under the Equality Act and emergency-access requirements are designed in, not bolted on later.

Room to grow. Start with core booking and add ANPR, dynamic pricing, enforcement or multi-site control when the operation needs it.

Local support. Our London team handles the rollout and stays on for maintenance and enhancements.

What we build in

The system is organised around the things a car park operation actually tracks: users, vehicles, spaces, zones, reservations, permits, transactions, access logs and violations.

  1. Live space monitoring so you can see occupancy and availability across every zone and site in real time.
  2. Booking and allocation with real-time availability, conflict detection, cancellations and override controls, plus allocation rules matched to your policy.
  3. Payment processing for contactless, mobile and card, built on a PCI-compliant processor such as Stripe or Adyen, with clean transaction logging.
  4. Permit management covering issue, validity, type (resident, visitor, staff, executive) and automatic expiry reminders and revocation.
  5. Access control wired into barriers, ANPR cameras and card readers, with entry and exit logging.
  6. Enforcement workflows for overstay detection, violation logging, human review, dispute appeals and resolution.
  7. Reporting tailored to the numbers you care about: utilisation rates, revenue per space and per site, peak periods and compliance metrics.
  8. Mobile access so staff and users can run bookings and wayfinding from a phone, with one-tap booking and a vehicle finder.
  9. Multi-site control with central policies, site-level overrides and cross-site reporting.
  10. Audit and compliance logging with tamper-evident records of bookings, payments, enforcement actions and configuration changes.
  11. EV charging treated as part of the parking picture: bay reservation, charge-state awareness and separate pricing for charging time.
  12. APIs and webhooks to connect accounting, CRM, HR and anything else you run.

Not every project needs all of this. We scope to what your sites genuinely require.

How the build works

Discovery and planning (2-3 weeks). We go through your current operations, the parts that don’t work, your allocation and pricing policy, and what needs to connect to what. Getting requirements right here is what prevents scope creep later.

MVP build (8-10 weeks). We ship a working core first: booking engine, admin dashboard, mobile app, payment integration and basic access control. You get something testable and usable early.

Phase two (as needed). Fair allocation algorithms, ANPR, dynamic pricing, multi-site management, deep HR and ERP integration, advanced enforcement and full compliance logging.

Testing and deployment (2-4 weeks). We test allocation logic, payment flows and access control properly, then roll out site by site. A phased cutover keeps disruption low. Where it makes sense, we run old and new in parallel briefly to validate the data.

Training and support (ongoing). Roughly an hour or two for everyday users, half a day for administrators, shorter sessions for facilities and finance. Our London team stays on hand afterwards.

A realistic end-to-end timeline is 10 to 30 weeks depending on scope. The honest risks to watch are data quality (dirty user lists and inconsistent registration formats slow migration) and hardware lead times (ANPR cameras and barrier controllers can arrive late). We plan for both.

What it costs

There’s an upfront investment, typically £40,000 to £150,000 depending on the number of sites, whether you need ANPR and dynamic pricing, and how much has to integrate. A focused single-site system sits at the lower end; a multi-site build with enforcement and ANPR sits higher.

Over three to five years it usually works out cheaper than a SaaS subscription, especially for multi-site operators or anything over a few hundred spaces. The reasons:

  • No recurring per-space or per-site licence fees, since you own the software
  • No hidden integration and customisation charges that often exceed the subscription itself
  • No per-user cost explosion as headcount grows
  • Less manual reconciliation, fewer workarounds, and faster changes

Every project is different. A free consultation gets you an actual price for your situation, and if SaaS is genuinely the better value for you, we’ll say so.

Who uses this

  • Offices and workplaces: hybrid teams with fluctuating demand, fair allocation tied to HR and attendance, and guest capacity
  • Shopping centres and retail: high-volume parking with dynamic pricing, validation and tenant-specific rates
  • Hospitals and healthcare: 24/7 staff, visitor and patient parking with shift-based allocation, accessible bays and CQC-friendly audit trails
  • Universities and campuses: student, staff and visitor groups with permit-based allocation linked to enrolment and role
  • Residential and apartment complexes: limited shared spaces, lease-based allocation and visitor booking
  • Hotels and venues: parking tied into reservation systems, plus surge capacity for events
  • Local authorities: public car parks with ANPR, permit and citation workflows and real-time availability feeds
  • Commercial landlords: tenant parking allocation, visitor management and per-tenant reporting
  • EV charging hubs: charging-aware bay allocation, separate charging pricing and revenue-sharing models

Common Questions About Custom Car Park Management Systems

How does a custom build compare in cost to SaaS parking software?

SaaS parking platforms usually charge per space or per site, often somewhere between £5 and £50 per space each month, plus setup, integration work and payment processing fees on top. Those costs run forever and tend to climb as you add sites or spaces. A custom build is a larger upfront project, typically £40,000 to £150,000 depending on scope, but you own it afterwards. For multi-site operators or anyone over a few hundred spaces, the totals usually cross over within roughly three to five years. We give you a real figure after a free consultation rather than a generic estimate.

What's the typical development timeline?

A focused single-site system with core booking, payments and basic access control is usually 10 to 14 weeks. A mid-market multi-site build with fair allocation, enforcement and integrations runs 16 to 22 weeks. Larger systems with ANPR, dynamic pricing and deep HR or ERP integration take 22 weeks or more. We often ship a working MVP first, then add the heavier features in a second phase so you get value early.

Can you integrate ANPR, barriers and our existing systems?

Yes. We connect to ANPR cameras, barrier and gate controllers and card readers, and to the software side: payment processors, accounting tools like Xero and QuickBooks, HR and directory systems, SSO providers, and EV charging networks. A common request is bi-directional HR sync so that when someone leaves, their parking access is revoked automatically rather than left active.

How do you handle ANPR data and UK GDPR?

A vehicle registration mark is personal data under UK GDPR once it can be linked to a keeper, so we treat ANPR carefully. That means a documented lawful basis for processing, data minimisation, encrypted storage, and retention limits built into the system: typically around three months for routine ANPR records, longer only where there is a documented reason such as an unresolved parking charge. We also build the audit trail and signage requirements in from the start rather than retrofitting them.

When is off-the-shelf parking software good enough?

If you run standard parking workflows, have one site of 100 to 1,000 spaces, are comfortable with vendor pricing, and parking is operational overhead rather than a revenue centre, a SaaS platform may be the sensible choice and we'll tell you so. Custom tends to pay off when you have unusual pricing rules, multiple sites with different policies, deep integration needs, or specific audit and enforcement requirements.

What about updates, training and ongoing support?

Training is included: roughly an hour or two for everyday users, half a day for administrators handling configuration and reporting, and shorter sessions for facilities and finance staff. After launch our London team handles maintenance, fixes and enhancements on flexible support terms, so you're working with the people who built the system rather than a vendor support queue.
